Small Office Checklist: How to Choose an IT Company in Bergen County, NJ

If you run a small business in Bergen County, there’s a good chance IT problems land on you or your office manager. Somebody resets the passwords, sits on hold with the internet company, and wonders whether that strange invoice email was safe to open. At some point, most owners decide it’s time to hand IT to a company that does it for a living.

The hard part is choosing one. Every IT company says it’s responsive and secure. This checklist gives you plain questions to ask, so you can compare providers on what actually matters to a small office in Hackensack, Paramus, Ridgewood, Teaneck, or anywhere else in the county. If you’d rather see how we work first, our page on IT support across Bergen County, NJ lays it out.

Start with What Your Office Actually Needs

Before you talk to anyone, write down how your business uses technology. It makes every conversation shorter and every quote easier to compare.

  • Professional services firms (consultants, engineers, insurance agencies, real estate offices) live in email, shared files, and video calls. They need those to work every morning, from the office and from home.
  • Accounting firms handle tax returns, bank details, and client financials, and their busiest weeks are the worst possible time for a computer to fail. They need secure file sharing, reliable backups, a written security plan, and a help desk that knows their tax software.
  • Medical and dental practices need their EHR, scheduling, and phones running during patient hours, plus the safeguards the HIPAA Security Rule calls for, such as access controls, encryption, and backups.
  • Law firms need client files kept confidential and their practice software running.

If your office fits one of these, ask every provider you talk to how they support businesses like yours.

The Checklist: Questions to Ask Any IT Company

1. How Fast Do You Respond, and Who Answers?

  • How quickly do you typically respond to a support request?
  • Will we talk to someone who knows our setup, or start over every time?
  • How are urgent problems handled, like email being down for the whole office?

2. How Do You Handle Hands-On Work?

  • Do you already support businesses in Bergen County?
  • When something physical breaks, like a server, firewall, or phone system, how do you handle site visits?

3. What Is Included in the Monthly Price?

  • Is it a flat monthly rate, or do we get billed by the hour after an outage?
  • What isn’t covered, and what does that cost?
  • How does the price change when we hire someone?

4. Will You Prevent Problems or Just Fix Them?

  • Do you monitor our computers and network and install updates for us?
  • Do you look for the cause of a repeat problem, or just fix it again?
  • Will we get a written plan for replacing old laptops and equipment?

5. How Will You Keep Our Data Safe?

Security deserves its own conversation, but at minimum ask:

  • Do you turn on two-step sign-in, filter dangerous email, and protect our laptops?
  • Do you back up our data and actually test that it can be restored?

6. Can You Help with HIPAA and Other Rules We Follow?

  • For medical and dental offices: which HIPAA technical safeguards do you put in place, and how do you document them?
  • For any business: do you understand New Jersey’s breach notification law and what to do if client information is exposed?
  • Can you help us answer cyber-insurance questionnaires?

Keep in mind that compliance stays your responsibility. A good IT company handles the technical safeguards and explains them in plain English.

7. Do You Know Our Industry’s Software?

  • Have you supported practice management, tax, or EHR software like ours?
  • Will you work directly with our software vendors when something breaks, so we don’t have to?

8. Can You Work with the IT Help We Already Have?

  • If someone on staff handles IT today, can you support them instead of replacing them?
  • How do you take over smoothly from our current provider?

9. Will You Explain Things in Plain English?

  • Will you tell us what you recommend and why, without jargon?
  • Do we get regular check-ins to plan ahead, not just a bill?

A Few Red Flags

  • Hourly billing that makes you hesitate before calling for help
  • No clear answer about how quickly they respond
  • Security treated as an optional add-on
  • Backups that have never been tested
  • Recommendations you can’t get explained in plain words

How BizTechPro Answers These Questions

BizTechPro has been the IT department for small businesses since 2008. We’re based in Pearl River, NY, and work with offices across Bergen County. Here’s how we answer the checklist:

  • Response: support requests typically get a response quickly, and most issues are fixed the same day.
  • Site visits: remote support handles most issues, with site visits, when needed.
  • Pricing: one flat monthly rate per user, with no hourly bills after an outage. Medical practices are often priced per patient room.
  • One team: computers, network, Microsoft 365, security, and phones, so nothing falls between vendors. As a Microsoft Partner, we set up, secure, and support Microsoft 365.
  • Working alongside your staff: if you have an in-house IT person, we can work with them in a co-managed setup.
  • Plain English: we explain what we recommend, and why.

If you run a practice, see IT for medical practices. For accounting and other professional offices, see IT for small businesses.
